Building a client portal and legal CRM for a multi-practice law firm
Custom software for a consumer firm spanning 15 practice areas — client logins, document automation, e-signatures and a full audit trail. In production today.
Why this one is anonymous
The firm is not named here, and no performance figures are published. Law firms deal in other people’s worst weeks, and plenty of them would rather their vendor relationships and their numbers stayed private. We would rather show you the work than push a client into a marketing asset they did not ask for. Everything described below is a real system running in production — we are happy to walk you through it on a call.
The problem with how most firms handle intake
A multi-practice firm has a document problem before it has a marketing problem. Every matter needs paperwork from the client, and the collection of it usually runs on email chains, attachments that get lost, and paralegals chasing the same signature three times. Meanwhile clients call the front desk to ask where things stand, because there is nowhere else to look.
- Document collection spread across email, with no single source of truth
- Signatures gathered manually, slowing every matter down
- Clients calling for status updates because they have no visibility
- No reliable record of who accessed or changed what, and when
What we built
Rather than bolt a generic CRM onto the firm, we built a client portal and legal CRM around how the firm actually runs — 15 practice areas with genuinely different intake requirements, sharing one system.
- Client logins — a secure place for clients to see their own matter instead of phoning to ask
- Automated document requests — the system asks for what a matter needs and chases what is missing
- E-signatures — signing happens in the portal, not in a printer tray
- A full audit trail — every access and change recorded, which matters when your files are discoverable
- Multi-practice support — 15 practice areas handled in one system, without forcing genuinely different matter types down a single workflow
Why the audit trail is the part that matters
Client logins and e-signatures are pleasant. The audit trail is the part a firm cannot buy from a website builder. When a file is subject to discovery, or a client disputes what was sent and when, an ordinary email thread is a liability and a recorded chain of custody is an asset. That requirement is why this was custom software rather than an off-the-shelf portal, and it is the honest reason a build like this costs what it costs.
What this means if you run a firm
Most agencies pitching law firms sell a website and a Google Ads budget. That is worth doing — we do it too — but it only changes what happens before someone becomes a client. The portal changes what happens after, which is where firms actually lose time and where clients decide whether to refer you.
If your paralegals spend their week chasing documents, that is a software problem, not a marketing one, and no amount of ad spend fixes it. We build both, which means we can tell you honestly which one you need first — and it is not always the one we would rather sell.
